Your 1st draft budget - urgent

please send your first budget draft to Florence and François.... It is time to do that, because we have a lot of work to gather all the datas and see if our budget is pertinent.... We have a major risk that one or two of the partners might not be eligible due to european rules.

If this is confirmed, we shall have a different budget, not being anymore able to pretend an almost 500 K€ budget!

Budget already sent are those of Päivi, Florence and François....

Important: Project management CP1 and budget is supported by lead particpant

We are beginning to compute budgets coming from partners

One first issue is that, normally, most of the partners shouldn't have significant budgets on CP1: project management (PM).

This budget is normally dedicated to Lead partner who will support almost 90% of the total PM.
In our case, it is AGRIA who has this budget, when spending a lot of time about management, global finances, deliverables and reporting commitments.... INNO8 will also be involved, especially in supporting website, weblog and flyers and "helping" AGRIA's Florence.

Budget preparation datasheet

It seems that the budget estimation process is complex for some of us....In order to help each partner to budget computation, you will find here an EXCELsheet that you can download. François used it to prepare his budget.

To use this tool, follow instructions

NB: fill only the yellow cells

• cell AD8: write here your daily cost ( NB: if you have more than one person working on the project, duplicate the columns)

• Column AE: write here your day evaluation for each subtask => EXCEL will compute each task

Opening this EXCELsheet, you will find INNO8 first draft to prepare its budget => You may change the number of days for each subtask, according to you way to deal with the project

• Column AF = Travel & accomodation.

write here your estimation (in €) for trips and other expenses. 6 travel ( for 6 meetings) are already filled with a 600€ value. You may add other expenses such as kilometers driving, meals, ...

• Column AG = external expertise

You may fill here your semester finance control ( in France, between 500€ and 1000€ each semester) subcontractors, flyers and comm materials,....)

Phone call with regional coordinator of Asturias

Dear all,

I was also in contact with Jason, the regional coordinator of Asturias.

He mentioned that they don´t know exactly how many proposals will be presented on the 24th september, but  as Florence said it seems that Bio Life is one of the most advanced as we started working already in our meeting in France.

Furthermore, he said that they will carefully check the quality of the proposals, specially the objectives, activities and outputs as these cannot be changed afterwards when the proposal is approved.

This means, that during the Kick-off we can organised how to perfom the work and organise the activities, but we cannnot change them. 

In this sense, when evaluating if they don´t like the proposal, 2 things can happen:

- We have to re-write these parts

- They will dismiss the proposal and keep the money for a 2nd call in the future

Meeting with Regional coordinator of Lorraine

Dear all,

This note to inform you about the meeting we have had last Friday with Dominique LORRETTE, the Regional coordinator of Creator in Lorraine.

The aim of the meeting was to present in detail the project and make the coordinator want to defend BioLife.

The important informations that held our attention were :

- BIO LIFE is one of the biggest and most advanced project at this time

- the aim of the project is interesting

- it is the only project with a Lorraine lead partner

- 8 to 10 projects are about to be presented

- if justified, it is possible to present a project with a higher budget than 500k€, without exceeded 550 to 600 k€.

They are really interested in the work which will consist in "coordinating with regional accompaniment  policies to the  innovation".

We felt a real interest in the project and we are confident that they will defend it in Asturias the 13th and 14th of October.

At this time I invite you to concentrate on the budget so that we will be ready on time.

After your last exchanges with François may I suggest that we kept the 21th version of application form to consolidate.

Good cheer for the budget, we will then be ready the apply and win this call !

• The main cost is: Staff cost:  37.152 €        ( 108 days  - daily cost 344 € )  almost 75 % of the total 50 K€ budget)
• Travel and accomodation:      9.000 €
• External expertise:               5.000 €

                                          total = 50.152 €

Dear all,

I have just sent an e-mail to Paula and Cristina asking for stabilizing the last version. here is version 21
I understand that we have to discuss if e.g. a task is really on 1st or on 2nd semester, if it is not on both, and so on !

We will have time  for such kind of detail on semester 1, when agreeing on a common understanding of each detailed CP.

Now it is time to complete budget.

Anyway, it is clear that each partner won't work on all activities.
So please now try to estimate time and costs on the tasks you intend to work on !

Regarding technological tasks of PRODINTEC, as I mentioned at the beginning of the project, we will work on the packaging functionality, design, etc. and we will include our study to the Technology report (output from component 3). We have not expertise in food intake, nutrition or delivery issues.

Dear all,

 

Please find here my contributions mainly to point 3.1. Most of suggestions are based on 3 concerns that maybe you could help me to clarify:

 

1) For component 3 I’m not sure what fields we are going to work NUTRITION, FOOD DELIVERY, PACKAGING, INTAKE, etc..). Are all regions work in all fields or each of one could choose? This has importance because we would need at least more than 1 region working in the same, to allow to be developed the “exchange” activity and have sound reports. Here of course technological partners would have a more relevant role but all of us should probably contribute since the profile of technology partners is of course very concrete but as I understand that the reports are more comprehensive…

 

2) On the other hand, is it the implementation phase (component 4, tools, transfer methodologies…) based exclusively on what it is identified-exchanged in component 3? Or it is more independent?. Are technology partners interested to implement this? It should be interesting at least in a minimum part since if not maybe not all regions would participate in some core outputs: guidelines, etc…

 

3) From a formal point of view: Results (point 2.7 should be revised once finished 3.1) and my view is that description of activities (3.1) should be cleared a little in order to allow a better reading-understanding of the proposal by the CREATOR evaluators…
